NewWon quotes post to QuickBooks Onlineon the Shop plan

Quote from your rates and your history.

Every value read from the drawing shows where it came from, and nothing goes out until you approve it.

The QuoteSooner worksheet in dark mode for Lakeside Hydraulics, Q-2026-0001: before you send, confirm the rates this quote uses; BR-4471 in 6061-T6, quoted before at $29.36, with three checks to confirm (tolerance read as +/-.005 unless noted, finish read as hard anodize MIL-A-8625 Type III Class 2, material, revision and quantities); unit prices of $47.77, $40.38 and $36.69 at 25, 50 and 100 pieces; a total of $1,239.25 for 25 pieces before tax.

Every request lands in one queue.

Where quotes lose money, and what catches it.

Each answer is a screen in the app today, shown on a sample shop.

BR-4471, bracket, mounting, CNC machining in 6061-T6, quoted before at $29.36, with three checks to confirm: tolerance read as +/-.005 unless noted, finish read as hard anodize MIL-A-8625 Type III Class 2, and material, revision and quantities.

    The callout nobody priced

A finish spec in the notes, a cert requirement, a tolerance in the title block. Every value is read with the page and words it came from. The ones that need a person wait for you, and the quote can’t go until they’re settled.

    • Each callout is marked priced, included or excluded, and that list prints on the buyer’s copy
    • A check can show the spot on the drawing it was read from
Before you send: confirm the rates this quote uses. Pricing this draft today would change its total: material markup 0% to 25%; qty 25 was $1,194.25, now $1,255.75; qty 50 was $2,019.00, now $2,142.50; qty 100 was $3,669.00, now $3,915.00.

The price that moved after you sent it

When your rates change after a draft was priced, the worksheet shows what each quantity would become, and the saved price stands until you choose. Material prices carry the date you set them.

    • An order whose PO arrives after the material window says so
    • Every rate sheet you save is kept and can be restored
    Unit price in USD for BR-4471: $47.77 at 25 pieces ($1,194.25 for 25), $40.38 at 50 ($2,019.00 for 50), $36.69 at 100 ($3,669.00 for 100).

The small lot that cost more than it paid

Every quantity break carries its own unit price. Setup is spread across each break, and an outside service carries the vendor’s lot minimum, so 25 pieces aren’t priced like 100.

    • A PO for a quantity you didn’t quote is flagged before you confirm the order
Customer performance: Lakeside Hydraulics quoted 5 times, won 4, lost 1, beside six other customers; and BR-4471 as a repeat part, quoted twice, last at 100 pieces for $29.36.

    The repeat part

A part you quoted before opens with what you charged last time and how it went, and a new file for the same part and revision is called out before you reuse the price.

    • Import the quotes you sent before QuoteSooner
Start new parts from the estimate: When the estimate has earned it, Always (selected on the sample shop), or Never, prices stay blank.

    The estimate you can’t check

A starting price from your rates and the part’s geometry stays marked as an estimate until you edit it, and by default fills in only once it has come within 30% of five quotes you sent.

    • Actual hours on won jobs tune the run-time estimate

One worksheet, from drawing to won.

Four steps every quote takes, each on the screen it happens on.

    Questions shops ask first.

Drawings, inboxes, who sets the price. How we handle drawings

Do I have to send you my customers’ drawings?

Not to try it: start on the sample request. When you quote your own work, drawings are stored privately and seen only through your team’s signed-in accounts. Turn AI off for any request, or for every request from a customer, and nothing in it is sent to a model.

    Can QuoteSooner read my inbox?

No. Connecting Gmail or Outlook on the Shop plan asks for permission to send email and identify your account. It never reads your inbox.

    Who sets the price?

You do, from your rates. A starting price from your rates and the part’s geometry fills in only when you switch that on, or once its estimates have matched quotes you actually sent. It is marked as an estimate, you can change it, and nothing goes out until you approve it.

Does it remember what I charged last time?

Yes. When a part comes back, the price you sent before is shown on it. Revise a sent quote as a new revision, mark it won or lost with a reason, and the next quote starts from that history.

Do I need a CAD model?

No. PDF drawings and the customer’s requirements are enough. When a STEP or IGES file comes with the RFQ, it opens in 3D beside the drawing and its holes, pockets and setups are measured for you.

Can it quote finish machining on castings or customer-supplied material?

Yes. Mark the part as a casting or forging, or as customer-supplied, and material comes off the price. A casting is never priced as if it were cut from bar: you price the machining from your rates.

What about defense-controlled or export-restricted work?

It is outside what QuoteSooner is for. Please don’t upload controlled drawings.
