Privacy Policy

Information we collect

We collect information you provide when you contact us or use QuoteSooner, such as your name, email, shop details, quote requests, drawings and messages. We also process account, subscription and technical information needed to operate the service, such as browser details and access logs.

How we use information

We use information to provide the service, process quote requests, manage accounts and subscriptions, respond to questions, troubleshoot problems and protect against misuse. Uploaded content may be processed by automated tools, including AI, to provide the features you use.

Service providers and sharing

We use service providers for hosting, storage, email, payments and automated processing. They receive information needed to provide those services. Information may be processed outside your country. If you book a walkthrough on our setup page, the booking calendar is provided by Cal.com, which loads only on that page. Cal.com receives your name, email, the time you choose, your optional answer to our question and the campaign labels of your visit, and sends you the calendar invitation; we keep a copy of the booking to prepare for the call. Quotes and related details are shared with the recipients you choose. If your shop signed up through one of our referral partners, such as an accountant or consultant, that partner may learn your shop’s name, whether it subscribed and whether their referral payment is due, and nothing else: never your drawings, customers, prices or quotes. Partners agree to keep what they learn confidential. We may also disclose information when required by law or to protect legal rights.

QuickBooks Online

On the Shop plan, a shop owner can connect one QuickBooks Online company, approving the access in QuickBooks. QuoteSooner then reads the company’s name, home currency and sales-form settings (whether multicurrency and custom transaction numbers are on), its active items and tax codes so you can choose what quote lines post to, and its customers when you import them or when a quote posts. Imported customers join your shop’s customer list with their name, billing and shipping address and main email.

QuoteSooner writes to QuickBooks only when someone in your shop presses a button: posting a won quote creates one estimate or invoice, and a customer that isn’t in QuickBooks yet is added with its name, email and addresses. Nothing syncs in the background.

QuickBooks’ access tokens are encrypted (AES-256-GCM) and stored on our servers in a table only the service itself can read; they never reach your browser. We also keep the company’s QuickBooks ID and name, the item and tax codes you chose, which QuickBooks customer each of your customers is, and the number and total of each document a quote posted as. QuickBooks data is used only to run these features for your shop. It is never shown to another shop, never sold, and not shared with third parties beyond the hosting providers that run the service.

When the owner disconnects, the connection and its tokens are deleted and QuoteSooner’s access is revoked at Intuit. Estimates and invoices already posted stay in QuickBooks. The customer links and the record of what each quote posted as are kept, tied to that QuickBooks company, so reconnecting the same company never posts a quote twice; they are deleted with the rest of your shop’s data.

Cookies and preferences

Cookies and similar browser storage support sign-in, security and saved preferences. On our public pages, measurement (campaign labels, our page and click counts, and PostHog, described below) and marketing (the referral partner cookie and the website-visitor tag, both described below) are optional. If you visit from the European Union, the European Economic Area, the United Kingdom, Switzerland or Quebec, neither runs until you agree in the banner; elsewhere they run unless you turn them off. You can change your choice at any time from Cookie settings at the foot of every public page. Your choice is kept in a cookie named qs_consent for six months, and then we ask again. On public pages, session storage remembers campaign labels and the landing page until the browser tab is closed. If you open a referral partner’s link, a first-party cookie named qs_partner holds only that partner’s short name for 90 days, so the partner is credited if you sign up later; it holds no identifier for you, is not set when your browser sends Do Not Track or Global Privacy Control, and is removed when you sign in. We record page views, setup-help clicks and received requests to understand the inquiry process. Marketing events do not include form contents or drawing data, and optional page/click measurement respects the browser’s Do Not Track and Global Privacy Control settings. Our host, Vercel, also counts page views and measures page-load speed without cookies; we see only aggregate figures, such as visits per page, referring site, country and device type. On the public pages of quotesooner.com, a website-visitor tag from our outreach provider, Instantly, provided through Leadsy and RB2B, may match a visit from the United States to a person’s name, work email, LinkedIn profile and company, and tell us which pages they viewed, so we can follow up about QuoteSooner. It stores an identifier in your browser for about a year. It is not loaded in the app, on the sign-in pages, or when your browser sends Do Not Track or Global Privacy Control. In the app, we send product usage events (such as receiving a request, opening a worksheet, sending a quote or a file failing to convert) to our product-analytics provider, PostHog, which processes them in the United States. Each event is tied to the user account that acted and to its workspace, along with the workspace name and plan, the account’s role and the campaign labels it arrived with. With measurement allowed, the public pages also send PostHog page views and clicks on the setup and signup links, with the page, the campaign labels and the kind of site you came from, under an anonymous identifier that PostHog stores in your browser; it is never loaded before you agree where agreement is required, or when your browser sends Do Not Track or Global Privacy Control, and turning measurement off clears it. If you sign up after agreeing, the visits made on that browser are linked to your new account. These never include drawings, customer details, prices or email addresses. You can manage cookies through your browser, although disabling them may prevent parts of the service from working.

Keeping and protecting information

Your choices

You can ask to access, correct or delete your personal information, or ask questions about its use, by emailing hello@quotesooner.com. We may need to verify your identity. Some records may need to be retained as required by law. If a shop submitted your information, you can also contact that shop directly.
