QuoteSooner vs. Quotara: quoting only, or quoting plus the shop floor

At a glance

Quotara and QuoteSooner compared for small-shop quoting
ComparedQuotaraQuoteSooner
Best forSmall machine and fabrication shops that want quoting, work orders, floor tracking and job costing in one place [1][2]Small CNC shops (about 5 to 50 people) where the owner or an estimator sets every price
How a price startsIts AI estimator, Quinn, drafts setup, cycle time, material and outside work from a description or a PDF drawing, priced at your rates, with its reasoning on each line [3]Your rates and what you charged last time. An optional starting price from your rates and the model learns from your sent quotes, and by default fills in once it has come within 30% of five of them
Reading prints and emailsReads PDF drawings and photos, up to 10 files a job; forwarded RFQ emails become draft quotes [3][4]Reads the drawing, model and request, and records the page and exact words behind every value
Checks before sendingQuinn flags lines with no rate, hard materials, tight tolerances, and big jobs with no delivery date or PO [3][4]A value it cannot point to, or one two files disagree on, becomes a check; the quote cannot be sent until every check is resolved
3D modelsDoes not read STEP or DXF geometry; with CAD files Quinn estimates from the file name and your description, and says so [3]STEP, IGES, STL and 3MF in a 3D viewer with measuring; holes, pockets and setups recognised on STEP and IGES
After the quote is wonWork orders, inventory and BOM, Gantt scheduling, a floor time clock and estimated vs. actual hours, depending on plan [2]An order with its PO number, a traveler PDF and an operations CSV, with actual hours beside the quoted ones. No scheduling, time clock or inventory

Where Quotara is stronger

Quotara’s pitch is that quoting is only half the job, and it covers much more of the shop than QuoteSooner does:

  • It runs the job after the quote. An accepted quote becomes a work order in one click, operators clock into each step from a tablet, and a morning view shows what is overdue and what is on the floor [1][3]. Inventory, BOMs and rush-job flagging come with the Starter plan and up [2]. QuoteSooner stops at the order and its job packet.
  • Job costing that feeds the next quote. Quotara compares quoted with clocked hours on every job. Once three jobs have shipped, Quinn shows that history beside new estimates and uses it in its drafts; it caps extreme jobs and never changes a price on its own [3]. Learning from actual hours needs floor tracking, on Professional and up [3].
  • A draft from a plain description. Type the job the way the customer described it and Quinn works out programming, setup, cycle time per piece, material with cutoff and outside work such as anodizing, then prices each line from your rates [3]. QuoteSooner’s starting price works from the model and your rates, is optional, and learns from your sent quotes.
  • French, more currencies and Canadian taxes. Quinn answers in English or French, quotes can be sent in either, in CAD, USD, NZD, AUD or GBP, with two taxes per quote for GST and PST or QST, plus deposits and discounts [3][4]. QuoteSooner is in English only.
  • A lower entry price for one person. The Quote plan is CA$79 (US$59) a month for one user with unlimited quotes [2]. QuoteSooner is free for one user up to five RFQs a month, but past that the Shop plan costs more.
  • Fabrication as well as machining. Quotara is aimed at small machine and fabrication shops [2]; QuoteSooner is for CNC machining.

If you want one system from quote to shipped job, without buying an ERP, Quotara is the better fit, and this page should not talk you out of it.

Where QuoteSooner is different

QuoteSooner is deliberately narrower. It is built for the quoting desk only, and for the estimator who wants to be able to defend every number on the quote.

  • Every value traced to its source. Material, revision, quantities, tolerances and finish each carry the page and exact words they were read from. Quotara’s checks look at the quote for risks; QuoteSooner’s check the reading itself, and the quote cannot be sent until every unsupported or conflicting value is resolved.
  • 3D models are read, not just stored. STEP, IGES, STL and 3MF open beside the drawing, and on STEP and IGES holes, pockets and setups are recognised. Quinn does not read CAD geometry and asks for a PDF drawing for an accurate estimate [3].
  • Your own quote history, part by part. When a part comes back, what you charged last time is on it, and a new file for the same revision is called out before you reuse the price. Past quotes can be imported from QuickBooks, Paperless Parts or a spreadsheet.
  • Sent from your own mailbox. On the Shop plan quotes go from your own Gmail or Outlook and land in its Sent folder; the buyer accepts on a web page with a PO number, or declines with a reason.
  • One price for the whole shop. Free for 5 production RFQs a month for one user, no card. The Shop plan is US$249 a month with no seat or quote limits, so adding a fourth or eleventh person changes nothing.
Part BR-4471 in the worksheet with three checks: tolerance read as +/-.005 unless noted, finish read as hard anodize MIL-A-8625 Type III Class 2, and material, revision and quantities to confirm against the source file.
Part BR-4471 Rev C: what was read from the drawing, waiting to be confirmed or changed.

Pricing, as published

Quotara publishes four plans, each priced per shop with a set number of users and unlimited quotes: Quote at CA$79 a month (1 user), Starter at CA$149 (up to 3 users), Professional at CA$349 (up to 10 users) and Scale at CA$599 (unlimited users). With the page set to US dollars they are US$59, US$109, US$275 and US$450. Yearly billing saves 20%, HST applies to Canadian customers, and every plan starts with a 14-day trial with no card [2].

QuoteSooner is free for 5 production RFQs a month for one user, with no card. The Shop plan is US$249 a month per shop, month to month, with no setup fee and no seat limit; shops that subscribe while the founding price is offered keep US$199 a month for life. See pricing.

The two are priced for different jobs. Quotara’s higher plans pay for work orders, scheduling and floor tracking that QuoteSooner does not have; compare the plan that covers what you would actually use.

Which should you choose?

  • Choose Quotara if you want quoting, work orders, scheduling and estimated vs. actual hours in one place without an ERP, if you quote fabrication as well as machining, or if you need French or Canadian two-tax quotes.
  • Choose QuoteSooner if you are a small CNC shop that already tracks the floor some other way, wants to see where every value on the quote came from, quotes from 3D models as well as drawings, and wants the estimator to approve every number before it goes out.

Questions

Is QuoteSooner a Quotara alternative?
For the quoting part, yes: it reads the request, checks each value against its source, prices each quantity from your rates and history, and sends the quote with a page the buyer can accept. It does not replace Quotara’s work orders, floor time clock, scheduling, inventory or job costing [2].
Which is cheaper?
It depends on how many people quote and what you need. Quotara starts at CA$79 (US$59) a month for one user and rises to CA$599 (US$450) for unlimited users [2]. QuoteSooner is free for 5 production RFQs a month for one user, then US$249 a month per shop with no seat limit, or US$199 at the founding price.
Can either one read a 3D model?
QuoteSooner opens STEP, IGES, STL and 3MF files and recognises holes, pockets and setups on STEP and IGES. Quotara’s Quinn does not read STEP or DXF geometry; it estimates from the file name and your description and says so, and works best from a PDF drawing [3].
Does either track hours on the shop floor?
Quotara does, on Professional and Scale: operators clock into each step and the estimate is compared with the actual hours [2][3]. QuoteSooner has no time clock; actual hours can be recorded on a won order beside the quoted ones.
Do both work with QuickBooks Online?
Yes. Quotara sends an accepted quote to QuickBooks Online as an invoice on Professional and Scale [1][2]. QuoteSooner posts a won quote as an estimate or an invoice on the Shop plan.
