QuoteSooner vs. Setell: a Setell alternative for small CNC shops
At a glance
| Compared | Setell | QuoteSooner |
|---|---|---|
| Best for | Machine shops, contractors, services and trades that want quoting and invoicing in one tool [3] | Small CNC shops (about 5 to 50 people) where the owner or an estimator sets every price |
| How requests arrive | Forwarded, uploaded or pasted; picked up from Gmail or Outlook or your website form [3] | Forwarded to your shop’s intake address (Shop plan), a request form on your website, files dropped in, or pasted text |
| 3D models and drawings | STEP, IGES, DWG and DXF on every plan; bounding box, solid volume and stock weight, marked with how far the geometry can be trusted [1] | STEP, IGES, STL and 3MF in a 3D viewer with measuring; holes, pockets and setups recognised on STEP and IGES; every value read from a drawing carries its page and exact words |
| How a price starts | Learned from your QuickBooks history and signed quotes, or an industry benchmark, or a flagged AI estimate, each line tagged with its source [4]; learning from QuickBooks history is on Business and Pro [2] | Your machine and labour rates, setup spread across each quantity break, and what you charged last time. An optional starting price from your rates and the model learns from your sent quotes, and by default fills in once it has come within 30% of five of them |
| Sending | Watch mode, the default, asks before every outbound action; you can let Setell send on its own [3] | Never sends a price the estimator has not approved; unresolved checks block sending |
| Accounting | QuickBooks Online two-way sync of customers, items, invoices and payments; Xero invoices on approval [3] | QuickBooks Online on Shop, when you press a button: import customers, post a won quote as an estimate or an invoice. No Xero |
| Other connections | Chrome extension; Slack on Business; SMS, API access and Claude or ChatGPT connectivity on Pro [2] | None beyond Gmail, Outlook and QuickBooks Online |
| Price | Free: 3 AI quotes a month after 14 days of unlimited Pro; Business $49 a month; Pro $99 a month; 25% less billed annually [2] | Free for 5 production RFQs a month; Shop US$249 a month per shop (US$199 founding price, locked for life) |
| Defense and ITAR work | A separate ITAR Edition in AWS GovCloud (US), provisioned per engagement; the standard platform is not for export-controlled data [1] | Not supported; a request marked ITAR, EAR, USML or 22 CFR is held before the AI or a preview touches it |
| Trades | Machine shops, contractors, services and trades [3] | CNC machining |
Where Setell is stronger
Setell covers more of what happens after the quote, costs less, and serves more kinds of business:
- A lower published price. Business is $49 a month and Pro $99 a month, or $36 and $74 billed annually [2]. QuoteSooner’s Shop plan is US$249 a month.
- Quote to cash. An approved quote becomes a QuickBooks invoice automatically, with two-way sync of customers, items, invoices and payments; Xero invoices are supported too [1][3]. QuoteSooner posts a won quote to QuickBooks Online when you press Post, and syncs nothing in the background.
- Pricing history from day one. Connect QuickBooks and Setell reads your past invoices for pricing on the first day, on Business and Pro [2][4]. QuoteSooner can import past quotes from QuickBooks, Paperless Parts or a spreadsheet, but it reads quotes, not invoices.
- A source on every price line. Each line is tagged as coming from your own jobs, an industry benchmark, or an AI estimate to review [4]. QuoteSooner traces the part details to the drawing; its prices come from rates you set rather than a benchmark.
- More file types and connections. DWG and DXF as well as STEP and IGES [1], quantity changes re-priced from one typed line [1], and Slack, SMS, API and Claude or ChatGPT connectivity on paid plans [2].
- Other trades, and an ITAR option. One tool for machining, fabrication, welding and other trades [1][3], and a separate ITAR Edition for export-controlled work [1].
If a low monthly price, invoicing and payments in QuickBooks or Xero, or one quoting tool for several trades is the requirement, Setell is the better fit.
Where QuoteSooner is different
QuoteSooner is built for one kind of work, CNC machining, and for the estimator who wants to defend every number on the quote.
- Every value traced to the drawing. Material, revision, quantities, tolerances and finish each carry the page and exact words they were read from. A value it cannot point to, or one two files disagree on, becomes a check, and the quote cannot be sent until every check is resolved.
- Priced the way a machine shop prices. Each machine at its own hourly rate, setup spread across every quantity break, outside services with their lot minimums, and castings, forgings or customer-supplied material taken off the price. On STEP and IGES models, holes, pockets and setups are recognised; Setell says geometry alone won’t give internal features or cycle time, and asks instead [1].
- A starting price that has to earn its place. An optional estimate from your rates and the model learns from the quotes you send, and by default fills in only once it has landed within 30% of five of them.
- Nothing sent on its own. QuoteSooner has no mode that sends a quote without the estimator. Setell defaults to asking first but can be set to send on its own [3].
- No quote or seat limits on Shop. The Shop plan has unlimited RFQs and users; Free covers 5 production RFQs a month for one user, without a time limit. Setell’s Free plan covers 3 AI quotes a month and Business 50 [2].

Pricing, as published
Setell publishes three plans. Free is $0 with no card: 14 days of unlimited Pro, then 3 AI quotes a month. Business is $49 a month, or $36 billed annually, for 50 quotes a month and pricing memory from your QuickBooks history. Pro is $99 a month, or $74 billed annually, for unlimited quotes, custom templates, API access and agent connectivity. Paid plans have a 14-day money-back guarantee [2]. The ITAR Edition is provisioned per engagement, and we found no published price for it [1].
QuoteSooner is free for 5 production RFQs a month for one user, with no card. The Shop plan is US$249 a month per shop, month to month, with no setup fee; shops that subscribe while the founding price is offered keep US$199 a month for life. See pricing.
Which should you choose?
- Choose Setell if you want the lowest monthly price, quotes that become invoices and payments in QuickBooks or Xero, pricing learned from your invoice history, one tool for several trades, or an option to let quotes send themselves.
- Choose QuoteSooner if you are a small CNC shop that prices from machine rates and quantity breaks, wants the page and words behind every value on the drawing, and wants the estimator to approve every quote that leaves the shop.
Questions
- Is QuoteSooner a Setell alternative?
- For small CNC shops, yes. It covers reading the request, checking each value against the drawing, pricing each quantity from your rates and history, sending the quote and posting won work to QuickBooks Online. It does not sync payments, connect to Xero, quote other trades or take ITAR work, which Setell lists [1][3].
- Which is cheaper?
- Setell. Its Business plan is $49 a month and Pro $99 a month [2]. QuoteSooner’s Shop plan is US$249 a month per shop, or US$199 at the founding price, with unlimited RFQs and users. Both have free plans: Setell’s covers 3 AI quotes a month, QuoteSooner’s 5 production RFQs.
- Both say they show where a number came from. What is the difference?
- Setell tags each price line as coming from your past jobs, an industry benchmark or an AI estimate [4]. QuoteSooner traces each value read from the request, such as material, revision, tolerance or finish, to the page and exact words on the drawing, and blocks sending until anything unsupported is checked. Its prices come from the rates you set.
- Can either one send quotes without me?
- Setell can, if you choose: its default watch mode asks before every outbound action, and you can let it send on its own [3]. QuoteSooner cannot; it never sends a price the estimator has not approved.
- Can I quote ITAR or defense parts in QuoteSooner?
- No. A request marked ITAR, EAR, USML or 22 CFR is held before the AI or a preview touches it, and only the owner can release or delete it. Setell offers a separate ITAR Edition in AWS GovCloud (US) and says its standard platform is not for export-controlled data [1].
