Where Uptool is stronger

Uptool does more of the quoting work for you, and for a busy shop that may be exactly what matters:

  • RFQs found in your inbox. Uptool connects to your email, pulls RFQs from all your inboxes and keeps them in a searchable dashboard [1]. QuoteSooner only sees what you forward to it or drop in, and on Shop it asks your mailbox for permission to send, never to read.
  • Estimating data you don’t have to build. A material and finishing database built with data from finishers and material distributors, and dozens of material and operations calculators you can customise [1]. QuoteSooner prices from your own rates and your own material price list; it has no supplier database.
  • Fabrication as well as machining. Uptool is built for machine and fabrication shops and reads BOMs [1][4]. QuoteSooner is for CNC machining only.
  • Defense and controlled work. Uptool hosts customer data on AWS GovCloud (US), says it adheres to ITAR, and undergoes annual SOC 2 audits [1]. QuoteSooner holds any request marked as export-controlled and does not take that work.
  • Replies in the thread. You check the numbers, set the markup and send the quote back on the same email thread [3].

Uptool describes its software as automating 90% of the quoting workflow; that is Uptool’s claim, which we have not verified [4]. If inbox detection, a ready-made materials database or ITAR work is a requirement, Uptool is the better fit.

Where QuoteSooner is different

QuoteSooner is built for the owner or estimator in a small CNC shop who wants every number on the quote to be one they can defend.

  • Every value traced to its source. Material, revision, quantities, tolerances and finish each carry the page and exact words they were read from. A value it cannot point to, or one two files disagree on, becomes a check, and the quote cannot be sent until every check is resolved.
  • A starting price that has to earn its place. When a model comes with the RFQ, an estimate from your own rates can fill in, marked as an estimate. It learns from the quotes you send, and by default fills in only once it has landed within 30% of five of them; you can also set it to always or never.
  • Your own history. Import past quotes from QuickBooks, Paperless Parts or a spreadsheet, and a repeat part opens with what you charged last time. Won and lost outcomes are recorded with a reason.
  • Nothing sent without approval. QuoteSooner never sends a price the estimator has not approved, and the buyer gets a page to accept the quote with a PO number, or decline.
  • A free plan and one price per shop. Free for 5 production RFQs a month for one user, with no time limit and no card. The Shop plan is US$249 a month per shop, with no seat or quote limits. Uptool’s price depends on your number of employees and whether you do ITAR work [2].
Unit prices for BR-4471: $47.77 for 25 pieces, $40.38 for 50 and $36.69 for 100, above the part requirements.
Each quantity priced side by side: 25 @ $47.77, 50 @ $40.38, 100 @ $36.69.

Pricing, as published

Uptool shows a starting price of $195+ a month, “dependent on total employees & ITAR”, and asks you to email sales with your employee count and ITAR status for a specific price. It describes the plan as month to month with no upfront cost, and offers a one-week free trial [2]. The trial page says it is for US shops with fewer than 100 employees, with no card [3]. We could not find whether Uptool sells to shops outside the US.

QuoteSooner is free for 5 production RFQs a month for one user, with no card. The Shop plan is US$249 a month per shop, month to month, with no setup fee; shops that subscribe while the founding price is offered keep US$199 a month for life. Uptool’s starting price is lower than the Shop plan’s list price; which costs less for your shop depends on the price Uptool quotes you. See pricing.

Which should you choose?

  • Choose Uptool if you want RFQs detected in your inboxes without forwarding rules, estimates drawn from a ready-made material and finishing database, quoting for fabrication as well as machining, or hosting suitable for ITAR work.
  • Choose QuoteSooner if you are a small CNC shop that wants to quote from its own rates and history, see the page and words behind every value, try it free without a time limit, and keep the estimator in charge of every number.

Questions

Is QuoteSooner an Uptool alternative?
For small CNC shops, yes. It covers reading the request, checking each value against its source, pricing each quantity from your rates and history, sending the quote and posting won work to QuickBooks. It does not read your inbox for RFQs, include a supplier material database, quote fabrication, or take ITAR work, all of which Uptool lists [1].
Does QuoteSooner read my inbox like Uptool?
No. You forward RFQs to your shop’s intake address, or set a Gmail filter or Outlook rule that does, on the Shop plan; on any plan you can drop files in, paste the text or take requests through a form on your website. Connecting Gmail or Outlook only lets QuoteSooner send quotes from your address. Uptool connects to your email and detects RFQs itself [1].
Which is cheaper?
Uptool starts at $195+ a month depending on employees and ITAR, with the exact price by email [2]. QuoteSooner is free for 5 production RFQs a month, then US$249 a month per shop on the Shop plan, or US$199 at the founding price, locked for life by shops that subscribe while it is offered.
Can I try Uptool if my shop is not in the US?
Uptool’s trial page says the trial is for US shops with fewer than 100 employees only [3]. We could not find a statement about paid plans outside the US, so ask Uptool. QuoteSooner is built in Ottawa, Canada, and its QuickBooks posting supports the per-line tax codes Canadian companies need.
Can I quote ITAR or defense parts in QuoteSooner?
No. A request marked ITAR, EAR, USML or 22 CFR is held before the AI or a preview touches it, and only the owner can release or delete it. Uptool says it hosts customer data on AWS GovCloud (US) and adheres to ITAR [1].
